Accommodation Descriptions and Responsibilities

OAS determines accommodation eligibility based on demonstrated need through an interactive process with an OAS Accessibility Specialist. Some accommodation requests may require committee review.  Students are responsible for notifying their instructors each semester of their accommodations using Accommodation Letters, which students generate in the OAS Portal OAS Portal by selecting which of their approved accommodations are needed for each class. Each accommodation is limited in its scope and applicability and involve specific responsibilities for students and instructors. These responsibilities are detailed below.

Alternative Formats - Textbooks and Other Course Readings

Alternative Format accommodations ensure that students have access to textbooks and course readings that are accessible based on their disability-related needs. When students include the Alternative Format accommodations in their Accommodation Letters, materials listed through the bookstore are automatically submitted for an Alternative Format request. OAS staff will send notification via email if these books are available through Bookshare, Follett ACCESS (digital versions of textbooks are provided at a discount and the cost of the book is paid for through students’ course fees), or whether we need proof of purchase to request an accessible version from the publisher. OAS staff also provide books in Braille, large print, or DAISY (Digital Accessible Information System) files to meet access needs.

Digitally Accessible Materials

Ensure that required textbooks, readings, class materials, and assessments, when applicable, have digitally accessible alternatives such as eBooks, Kindle, accessible PDFs, etc. as needed.


Responsibilities

Student: is responsible for acquiring the necessary alternative format if readily available. If only a hard copy is available, the student must provide proof of purchase and request materials at least 2 weeks in advance via the OAS Portal.

Instructor: is responsible for ensuring that all materials (including lecture presentations, in-class assignments and assessments, handouts, etc) are provided in a digitally accessible format. Check Ally through ITS for accessibility issues and remediation recommendations. Contact OAS at AT_Lab_OAS@fsu.edu if additional guidance is needed.

Braille and Digitally Accessible Materials

Ensure that required textbooks, readings, class materials, and assessments, when applicable, have digitally accessible alternatives such as eBooks, Kindle, accessible PDFs, etc. and/or Braille as needed.


Responsibilities

Student: is responsible for acquiring the necessary alternative format if readily available. If only a hard copy is available, the student must provide proof of purchase and request materials at least 2 weeks in advance via the OAS Portal. Return all hard copy materials by the end of each semester or earlier.

Instructor: is responsible for contacting OAS ASAP at AT_Lab_oas@fsu.edu for support creating a remediation timeline for course content. Instructor is expected to provide OAS and the student with advance copies of the syllabus. Braille transcriptions and tactile graphics can take up to 6 weeks. Instructors must provide all materials (including lecture presentations, in-class assignments and assessments, handouts, etc.) in a digitally accessible format. Check Ally through ITS for accessibility issues and remediation recommendations.

Enlarged Print Materials

Ensure that required textbooks, readings, class materials, and assessments, when applicable, are provided in enlarged print. Please refer to accommodation letter for font size and formatting requirements. This accommodation applies only to physical print materials.


Responsibilities

Student: is responsible for acquiring the necessary alternative format if readily available. If only a hard copy is available, the student must provide proof of purchase and request materials at least 2 weeks in advance via the OAS Portal.

Instructor: is responsible for contacting OAS ASAP at AT_Lab_oas@fsu.edu for support creating a remediation timeline for course content. Instructor is expected to provide OAS and the student with advance copies of the syllabus. Instructors must provide all materials (including lecture presentations, in-class assignments and assessments, handouts, etc.) in a digitally accessible format. Check Ally through ITS for accessibility issues and remediation recommendations.

Paper-Based

Ensure that required textbooks, readings, class materials, and assessments, when applicable, are provided in paper-based format.


Responsibilities

Return all hard copy materials by the end of each semester or earlier

Instructor is expected to provide OAS and the student with advance copies of the syllabus. Alternative Testing

Students determined eligible for Alternative Testing accommodations are able to test in the OAS Testing Center, in the classroom, or per arrangements made with the instructor in advance of the exam date. Students who choose to test in the classroom should talk with their instructor about the feasibility of implementing accommodations. For example, testing in the classroom may mean waiving additional time accommodations for that exam unless the student and instructor have planned how the additional time will be implemented. Students who choose to test at the OAS Testing Center should schedule all exams in the OAS Portal early in the term, but no later than two business days in advance. Students must indicate which accommodations are needed when they schedule their exams with OAS. Any exams scheduled outside of standard class time must explicitly receive instructor permission before scheduling with OAS.

Instructors must complete the Alternative Testing Procedures for each class in the OAS Portal form to enable students to test with OAS. The form requests information about testing dates and times, durations, and procedures.

Extended Testing Time

Students approved for extended testing time are granted time equivalent to the standard testing time multiplied by the approved amount of extended testing time. For example, if 60 minutes is typically allotted for a test, a student approved for 1.5x will be allotted 90 minutes, and a student approved for 2x will be allotted 120 minutes. This accommodation applies to timed assessments only.


Responsibilities

Student: is responsible for indicating on the Alternative Testing Request if they intend to use their "Extended Time on Assessment" accommodation when scheduling each exam with OAS.

Instructor: must follow standard procedure for the student to test at OAS or provide an appropriate testing environment to facilitate the extended testing time. Instructor is also responsible for adding any additional testing time to tests conducted through online portals (e.g. Canvas, ALEKS, HonorLock, etc.)

Alternative Format - Digital/Computer-Based

Student is able to complete tests on a computer when they would typically be completed on paper.


Responsibilities

Student: is responsible for indicating on the Alternative Testing Request if they intend to use their "Alternative Format - Digital/Computer-based" accommodation at least one-week prior to each exam taken at the OAS Testing Center.

Instructor: is responsible for providing a computer-based exam format. Contact the OAS for support via email at at_lab_oas@fsu.edu if additional guidance is needed.

Alternative Format - Enlarged Print Materials

Student will receive exams in font size indicated in their Accommodation Letter. This accommodation applies only to physical print materials.


Responsibilities

Student: is responsible for indicating on the Alternative Testing Request if they intend to use their "Alternative Format - Enlarged Print" accommodation at least one-week prior to each exam taken at the OAS Testing Center.

Instructor:  is responsible for providing an enlarged print exam format. Contact OAS for support via email at AT_Lab_oas@fsu.edu if additional guidance is needed.

Alternative Format - No Bubble Sheets

Student is allowed to mark answers directly on the exam for all assessments that would otherwise require a bubble sheet (e.g. Scantron).


Responsibilities

Student: is responsible for indicating on the Alternative Testing Request if they intend to use their "Alternative Format - No Bubble Sheet" accommodation when scheduling each exam with OAS.

Instructor:  is responsible for allowing submissions directly on the assessment that would otherwise require a bubble sheet (e.g. Scantron).

Alternative Format - Paper-based

Student is able to complete tests on paper when they would typically be completed on a computer.


Responsibilities

Student: is responsible for indicating on the Alternative Testing Request if they intend to use their "Alternative Format - Paper-based" accommodation at least one-week prior to each exam taken at the OAS Testing Center.

Instructor:  is responsible for providing a paper-based exam format. Contact OAS for support via email at AT_Lab_oas@fsu.edu if additional guidance is needed.

Breaks

Student is permitted to exit the testing space while leaving all test materials and personal items at their seat for a reasonable period of time. The time allotted for the test does not stop during breaks.


Responsibilities

Student: must indicate to the instructor or testing staff when they leave the room and is responsible for abiding by the Academic Honor Policy. Student may not use their phone (except if approved as a medical monitoring device) during breaks. Student is responsible for leaving all testing materials and personal items at the testing location.

Instructor: is responsible for allowing the student to take breaks during the testing period. Instructor should require the student to leave their phone (unless the student has a medical monitoring device), testing materials, and personal items in the classroom while they take their break.

Calculator

Student may use a 4-function (or otherwise specified by the instructor) calculator during tests. Some limitations may apply.


Responsibilities

Student: is responsible for understanding types of calculator allowed.

Instructor: is responsible for specifying allowable calculator types (4-function, scientific, graphing) and working with OAS to determine situations in which a calculator would constitute a fundamental alteration.

Earplugs/Noise-Canceling Headphones/Ear Buds

Allows the student to use earplugs or noise-canceling headphones to minimize auditory distractions and improve focus during testing situations. These devices do not provide audio playback unless specifically approved.


Responsibilities

Student: is responsible for requesting noise-cancelling headphones from testing staff. If using their own headphones, the student MUST ensure they are not connected to another device. Student must abide by the Academic Honor Policy. The student can also choose to use the provided earplugs.

Instructor: is responsible for allowing student to wear earplugs or noise cancelling headphones/earbuds during tests in class.

Food and Drink

Student may bring personal food and/or beverages into the testing environment.


Responsibilities

Student: is responsible for providing their own food and drink. Snacks are permissible and should result in minimal noise and not distract others; full meals are not allowed.

Instructor: is responsible for allowing student to have food/drink during exams.

Human Reader

Allows a student to have exam questions read to them by a human reader.


Responsibilities

Student: is responsible for indicating whether they intend to use their "Human Reader" accommodation when scheduling each exam with OAS.

Instructor: is responsible for securing a human reader, if feasible, if the student chooses to test outside of OAS.

Human Scribe

Allows a student to dictate answers to a human scribe who will record the exam answers.


Responsibilities

Student: is responsible for indicating whether they intend to use their "Human Scribe" accommodation when scheduling each exam with OAS.

Instructor: is responsible for securing a human scribe, if feasible, if the student chooses to test outside of OAS.

Individual Exam Room

Student may test alone in a room and have the ability to control lighting and access.


Responsibilities

Student: is responsible for indicating on the Alternative Testing Request if they intend to use their "Individual Exam Room" accommodation when scheduling each exam with OAS.

Instructor: is responsible for following standard procedure for the student to test at OAS.

Manipulative Focus/Tracking Tool

Student may use a quiet manipulative tool (e.g. fidget toy, ruler/straightedge) during tests.


Responsibilities

Student: is responsible for using an appropriate (i.e. quiet) manipulative tool.

Instructor: is responsible for allowing the student to use a quiet manipulative tool.

Medical Monitoring Device

Student may continuously access their disability-related medical monitoring device. This includes cell phone applications and may be more than one electronic device.


Responsibilities

Student: is responsible for ensuring they are only accessing their phone as necessary for medical monitoring purposes and that the device is visible at all times. The student is responsible for abiding by the Academic Honor Policy.

Instructor: is responsible for specifying allowable locations of the device within proximity to the student.

Memory Aid/Cue Sheet

Please refer to the OAS Memory Aid/Cue Sheet Overview for further instructions. OAS will specify specific subject matter, if applicable. Instructor MUST approve the document. Upon approval, if the student will take the exam at OAS, the instructor must provide the document to OAS-Testing@fsu.edu. OAS will NOT allow a student to bring in their own memory aid/cue sheet.


Responsibilities

Student: is responsible for working with instructor to determine acceptable content for memory aid/cue sheet. Student must submit a draft for review in at least 3 business days before the exam. See the OAS Memory Aid/Cue Sheet Overview for more information. The student is responsible for abiding by the Academic Honor Policy.

Instructor: is responsible for providing timely and informative feedback on what they will approve for a memory aid, and, if applicable, send the approved document to OAS-Testing@fsu.edu. See the OAS Memory Aid/Cue Sheet Overview for more information.

Physical Magnifier

Student may use a physical magnifying device to enlarge printed text and images. This accommodation applies to print exam materials only.


Responsibilities

Student: is responsible for indicating on the Alternative Testing Request if they intend to use their "Physical Magnifier" accommodation when scheduling each exam with OAS.

Instructor: is responsible for following standard procedure for student to test at OAS and providing a high-resolution copy of exam materials.

Reduced-Distraction Testing Environment

Provides the student with a location to take exams, minimizing environmental distractions such as noise, movement, or crowded testing spaces. This is NOT an accommodation for an individual testing room.


Responsibilities

Student: is responsible for scheduling tests at OAS or coordinating testing in a reduced-distraction environment with their instructor.

Instructor: is responsible for following standard procedure for the student to test at OAS or provide a reduced-distraction testing environment. This requires sufficient distance between students and limited visual and auditory distractions.

Rephrasing of Exam Questions

Student may request that exam questions be rephrased by instructor.


Responsibilities

Student: is responsible for notifying the instructor or OAS Testing staff that they need a question to be rephrased. Students should ask for questions to be rephrased as they arise and continue testing while waiting for a response.

Instructor: is responsible for ensuring they or a representative are available during testing. If student is testing with OAS, instructor must respond to OAS Testing outreach in a timely manner. OAS Testing will reach out in the manner indicated in instructor's Alternative Testing Procedures.

Scratch Paper (Unlimited)

Student may use as much scratch paper as needed during tests.


Responsibilities

Student: is responsible for turning their scratch paper in to testing staff for either return to instructor or shredding.

Instructor: is responsible for turning their scratch paper in to testing staff for either return to instructor or shredding.

Screen Magnification

Student may use screen magnification software to enlarge digitally accessible materials. This accommodation applies to digital exam materials only.


Responsibilities

Student: is responsible for indicating on the Alternative Testing Request if they intend to use their "Screen Magnification" accommodation when scheduling each exam with OAS.

Instructor: is responsible for following standard procedure for student to test at OAS and providing the exam in a digitally accessible format.

ScreenReader

Student may use screen reading software during tests. Access to this software is provided by OAS. Screen reading software will read all material on the screen and provide additional keyboard navigation functions. This accommodation requires the use of an individual exam room.


Responsibilities

Student: is responsible for indicating on the Alternative Testing Request if they intend to use their "Screen Reader" and "Individual Exam Room" accommodations when scheduling each exam with OAS.

Instructor: is responsible for following standard procedure for student to test at OAS and providing the exam in a digitally accessible format.

Speech-to-Text

Student may use speech-to-text software to dictate written responses. This accommodation requires the use of an individual exam room.


Responsibilities

Student: is responsible for indicating on the Alternative Testing Request if they intend to use their "Speech-to-Text" and "Individual Exam Room" accommodations at least one-week prior to each exam taken at the OAS Testing Center.

Instructor: is responsible for following standard procedure for student to test at OAS and providing the exam in a digitally accessible format.

Spelling and Grammar Support

Student may have leniency in evaluation of spelling and grammar or use of spell check software/device (or similar alternative)


Responsibilities

Student: is responsible for indicating on the Alternative Testing Request if they intend to use their "Spelling and Grammar Support" accommodation when scheduling each exam with OAS.

Instructor: is responsible for providing leniency with spelling and grammatical errors or allow use of spell checking tool as feasible without altering fundamental course objectives.

Text-to-Speech

Student may use text-to-speech software to listen to written content with headphones/ear buds.


Responsibilities

Student: is responsible for indicating on the Alternative Testing Request if they intend to use their "Text-to-Speech" accommodation at least one-week prior to each exam taken at the OAS Testing Center.

Instructor: is responsible for following standard procedure for student to test at OAS. If the student tests in the classroom, the instructor is responsible for allowing the use of headphones/ear buds.

Video Magnifier

Student may use a video magnifier system that enlarges printed text and images onto a screen. This accommodation applies to print exam materials only and requires the use of an individual exam room.


Responsibilities

Student: is responsible for indicating on the Alternative Testing Request if they intend to use their "Video Magnifier" and "Individual Exam Room" accommodation when scheduling each exam with OAS.

Instructor: is responsible for following standard procedure for student to test at OAS and providing a high-resolution copy of exam materials.

Visual Timer

Student may use a quiet visual timer during tests (i.e, countdown timer).


Responsibilities

Student: is responsible for using an appropriate (i.e. quiet) visual timer.

Instructor: is responsible for following allowing the student to use a quiet visual timer.

Classroom Access

Classroom access refers to a broad set of accommodations related to in-class learning. These accommodations ensure equitable access to activities and the physical environment, including but not limited to: participation; materials; information; assignments; etc.

Alternative Assignment Format - Computer

In the case of paper-based assignments, an alternative format in the form of a digital version will be provided to the student, and the student can submit the assignment in a computer-based format.


Responsibilities

Student:  is responsible for clarifying individualized needs.

Instructor:  is responsible for providing a digital assignment format. Contact the OAS for support via email at AT_Lab_oas@fsu.edu if additional guidance is needed.

Alternative Assignment Format - Paper

In the case of computer-based assignments, an alternative format in the form of a printed version will be provided to the student, and the student can submit the assignment in a paper-based format.


Responsibilities

Student:  is responsible for clarifying individualized needs.

Instructor:  is responsible for providing a paper-based assignment format. Contact the OAS for support via email at AT_Lab_oas@fsu.edu if additional guidance is needed.

Breaks

Student is allowed to leave the classroom to take breaks as needed.


Responsibilities

Student:  is responsible for quietly exiting the room when they need to step out of the classroom and following up with the instructor regarding missed content.

Instructor: is responsible for allowing the student to step out of the classroom without penalty or verbal acknowledgement.

Clarification of Expectations and Instructions

Clarifications include rephrasing of instructions, directives, or discussion of progress, standing, and expectations of the course.


Responsibilities

Student:  is responsible for using available resources (e.g., syllabus, Canvas, rubric, etc.) prior to contacting the instructor to seek clarification of expectations, instructions, and information. Clarification is not asking the same question repetitively.

Instructor: is responsible for rephrasing information in a reasonable manner without providing an academic advantage. Clarification is not creating materials that are not available to all students.

Digital Communication

Communication outside of class sessions is to occur digitally.


Responsibilities

Student:  is responsible for directly communicating with their instructor.

Instructor: is responsible for communicating via a digital format when outside class time.

Earplugs/Noise-Canceling Headphones or Ear Buds

Allows the student to use earplugs or noise-canceling headphones to minimize auditory distractions and improve focus.


Responsibilities

Student:  is responsible for ensuring any music/sound played is at a volume to not be distracting to others.

Instructor: is responsible for allowing student to wear earplugs or noise cancelling headphones/earbuds in class.

Extra Time for In-Class Work

Provides the student with additional time to complete assignments or tasks during class that require sustained attention or processing time, similar to extended test time accommodations.


Responsibilities

Student:  is responsible for communicating the specific circumstances in which they will need additional time.

Instructor: is responsible for facilitating additional time, to include allowing an assignment or task to be completed after the standard class session. A same-day deadline is appropriate unless alternative arrangements are needed.

Face the Audience

Student needs a direct line of sight to the speaker's face to ensure clear sound and lip reading/facial cues are available to the students.


Responsibilities

Student:  is responsible for sitting in close proximity with a clear line of sight of the instructor.

Instructor: is responsible for ensuring they face toward students when lecturing and avoid speaking while facing away (e.g. while writing on the board, looking down at other materials, etc.).

Feedback (Private)

Feedback is to occur privately (not in front of peers).


Responsibilities

Student:  is responsible for communicating with the instructor to determine best methods of receiving feedback.

Instructor: is responsible for communicating with the student to determine best methods of providing feedback privately.

Food & Drink

Student may bring personal food and/or beverages into the classroom environment.


Responsibilities

Student:  is responsible for providing their own food and drink. Snacks are permissible and should result in minimal noise and not distract others; full meals are not allowed.

Instructor: is responsible for allowing student to have food/drink. If this should result in a safety concern, notify OAS and the student.

Group Work Modification

Allows modifications/alternative options for group work, when feasible.


Responsibilities

Student:  is responsible for communicating with OAS and the instructor to modify group work or determine an alternative option, as feasible. This does NOT exempt the student from group work requirements.

Instructor: is responsible for working with OAS and the student to determine appropriate modifications to or alternative options for group work, when feasible. This does NOT exempt the student from group work requirements.

Instructor Notes

Where available, student is to be provided with instructor notes.


Responsibilities

Student:  is responsible for requesting materials and understanding that instructors are not required to create additional materials.

Instructor: is responsible for providing accessible versions of all notes via email or Canvas in a timely manner. This includes lecture notes that may be modified for academic integrity purposes. Instructor is not expected to create additional materials to fulfill this responsibility.

Lecture Materials/Handouts

If not already provided, the student is to be provided all lecture materials (e.g. PowerPoints, visuals, etc.) and class handouts.


Responsibilities

Student:  is responsible for requesting materials if not already provided.

Instructor: is responsible for providing accessible versions of all lecture materials and handouts via email or Canvas in a timely manner.

Lecture Materials/Handouts Prior to Class

If not provided in advance of a class session, the student is to be provided all lecture materials (e.g. PowerPoints, visuals, etc.) and class handouts.


Responsibilities

Student:  is responsible for communicating with the instructor about the necessary timing (how early) and delivery method (email or otherwise).

Instructor: is responsible for providing accessible versions of all lecture materials and handouts via email or Canvas in a timely manner prior to class.

Manipulative Focus/Tracking Tool

Student may use a quiet manipulative tool (e.g. fidget toy, ruler/straightedge) during tests.


Responsibilities

Student:  is responsible for using an appropriate (i.e. quiet) manipulative tool.

Instructor: is responsible for allowing the student to use a quiet manipulative tool.

No Cold-Calls

This accommodation indicates that a student should-not be called on to speak in class unless they volunteer or have been given advance notice. This accommodation does not exempt a student from any participation requirements of the course.


Responsibilities

Student:  is responsible for ensuring they actively participate and meet grading requirements. Students are required to participate in class while using this accommodation. Students should contact their instructor to understand the participation requirements of a course.

Instructor: is responsible for not "cold-calling" on the student. Instructor should discuss any participation requirements for the course with the student. Contact OAS for support via email at oas@fsu.edu if additional guidance is needed.

Physical Activity Modification

Allows modifications/alternative options for physical activity in class, when feasible.


Responsibilities

Student:  is responsible for communicating with OAS and the instructor to modify physical activity or determine an alternative option, as feasible. This does not exempt the student from physical activity requirements.

Instructor: is responsible for working with OAS and the student to determine appropriate modifications to or alternative options for physical activity, when feasible. This does not exempt the student from physical activity requirements.

Preferential Seating

Seating in a specific section of the classroom (i.e. near exit, front/back, source of information. etc.).


Responsibilities

Student:  is responsible for communicating if they experience difficulty accessing where they need to sit.

Instructor: is responsible for helping student secure preferred seating, if needed.

Public Speaking/Presentation Modification

Allows modifications/alternative options for public speaking/presentation requirements in class, when feasible.


Responsibilities

Student:  is responsible for communicating with OAS and the instructor to modify public speaking/presentation requirements or determine an alternative option, as feasible. This does not exempt the student from public speaking/presentation requirements.

Instructor: is responsible for working with OAS and the student to determine appropriate modifications to or alternative options for public speaking/presentation requirements, when feasible. This does not exempt the student from public speaking/presentation requirements.

Record Lectures

Students may record the instructor while lecturing. The contents of the course are the property of the instructor; the recording will be used solely for access to the course, the student should not share the recording publicly. Other students cannot be recorded without consent.


Responsibilities

Student:  is responsible for acquiring a recording device and responsibly using the recordings according to Florida Statute 1004.097.

Instructor: is responsible for allowing recording in the classroom and wearing a microphone, if requested.

Schedule of Assignments/Assessments/Exams

If a course calendar is not readily apparent (one cohesive section with due dates) in the syllabus or on Canvas, the instructor must provide a calendar of due dates for all assignments and assessments.


Responsibilities

Student:  is responsible for requesting a course calendar from the instructor if not already provided.

Instructor: is responsible for providing the student with a course calendar if one is not already published in one cohesive section of the syllabus or Canvas site.

Sitting/Standing

Student needs to be able to alternate between sitting and standing at various points throughout class.


Responsibilities

Student:  is responsible for opting to sit in an area that will not cause disruption to other students when they need to stand up (e.g. to the side or back of the classroom).

Instructor: is responsible for allowing the student to alternate between sitting and standing during class. Instructor should not draw attention to the student.

Spelling and Grammar Support (In-Class Work)

Spelling and grammar leniency or use of spell check software/device (or similar alternative) while completing in-class work.


Responsibilities

Student:  is responsible for communicating need for spelling and grammar support.

Instructor: is responsible for providing/enabling the use of spelling and grammar support.

Syllabus Access (Early)

This accommodation enables the student to request access to course syllabi up to two weeks prior to the start of the term, as feasible.


Responsibilities

Student:  is responsible for contacting the instructor to request access to the syllabi prior to the start of the semester and communicate with the instructor or department about the feasibility of early access to the syllabus.

Instructor: is responsible for providing the student with access to the class syllabus upon receipt of the Accommodation Letter.

Technology in Class

Student is able to use computer or other specified technology (e.g. refreshable Braille display, smart pen, etc.), in the classroom for notetaking, submitting in-class written work, and/or reading instructional materials.


Responsibilities

Student:  is responsible for bringing the computer/assistive technology to class with them.

Instructor: is responsible for allowing the student to use the assistive technology in class.

Verbal Description of Images/Figures/Tables

Visual information referenced in class to be described verbally.


Responsibilities

Student:  is responsible for actively communicating with instructor to confirm understanding.

Instructor: is responsible for ensuring all visual information (images, figures, tables, etc.) referenced during class are also described verbally.

Written/Typed Instructions/Directives

Instructions and substantive information referenced in class (deadline reminders, in-class activities, syllabus/schedule changes, etc.) to be provided in writing.


Responsibilities

Student:  is responsible for actively communicating with instructor to confirm understanding.

Instructor: is responsible for ensuring all verbal instructions and directives referenced during class are also provided in writing.

Verbal Instructions/Directives

Instructions and substantive information (deadline reminders, in-class activities, syllabus/schedule changes, etc.) provided in writing during class must also be spoken aloud.


Responsibilities

Student:  is responsible for actively communicating with instructor to confirm understanding.

Instructor: is responsible for ensuring all written instructions and directives referenced during class are also provided verbally.

Communication Access

Communication access ensures that students receive equal access to course content and university communication. Services may include real time captioning (CART), virtual ASL interpreting, assistive listening devices, and other supports that remove barriers to participation. OAS works with students and instructors to coordinate these accommodations across academic and campus settings.

American Sign Language (ASL) Virtual Interpreter

Provides virtual access to a qualified American Sign Language (ASL) interpreter to facilitate real-time lecture and meeting communication.


Responsibilities

Student: is responsible for confirming intended virtual ASL usage and coordinating use for the term with OAS. The student will provide a lapel mic to the instructor at the start of class to ensure the audio is clear for the interpreter. Lapel mics are available for check-out through OAS.

Instructor:  is responsible for wearing the lapel mic system and returning it to student at the end of class. Instructor is responsible for helping student troubleshoot any minor sound issues (e.g. mic placement) that arise. Instructor is expected to add interpreter to the Canvas course with ODL facilitation.

Closed Captions (100% Accurate)

Provide 100% accurate closed captioning for streaming content, video, and/or audio content used in class or assigned for coursework.


Responsibilities

Instructor: is responsible for providing materials that include closed captions or generating closed captions and for ensuring the captions are 100% accurate. Use Kaltura to generate, review, and edit captions for accuracy. Reach out to Canvas Support if assistance is needed.

CART Services

Provides real-time captioning services (Communication Access Realtime Translation – CART), allowing students to read spoken dialogue and lecture content as text on a screen during class.


Responsibilities

Student: is responsible for confirming intended CART usage and to coordinate use for the term, including providing their personal meeting link to be shared with the captioner. The student will provide a lapel mic to their instructor at the start of class, and collect at the end of each class. Lapel mics are available for check-out through OAS.

 

Instructor: is responsible for wearing the lapel mic and returning it to the student at the end of class. Instructor is responsible for helping student troubleshoot any issues that arise.

FM System

Provides access to a Frequency Modulation (FM) hearing system, which amplifies the instructor’s voice and transmits it directly to the student’s hearing device to improve sound clarity and reduce background noise.


Responsibilities

Student: is responsible for confirming intended FM system use and checking out a device from OAS, if needed. Student is responsible for providing the FM system to their instructor at the start of class, and collecting it at the end of each class.

 

Instructor: is responsible for wearing the FM system and returning it to the student at the end of class. Instructor is responsible for helping student troubleshoot any minor sound issues (e.g. mic placement) that arise.

Lapel Mic System

Provides access to a lapel mic system, which amplifies the instructor’s voice and transmits it directly to the student’s personal listening device to improve sound clarity and reduce background noise.


Responsibilities

Student: is responsible for confirming intended lapel mic system use and checking out a device from OAS. Student is responsible for having their own wireless headphones, providing the lapel mic system to instructor at the start of class, and collecting it at the end of each class.

 

Instructor: is responsible for wearing the lapel mic system and returning it to student at the end of class. Instructor is responsible for helping student troubleshoot any minor sound issues (e.g. mic placement) that arise.

Flex Accommodations

Flex accommodations indicate a need for occasional flexibility for disability-related reasons. Using flex accommodations requires timely and direct communication with instructors. Flex accommodations are not to be used for circumstances unrelated to a student's disability (e.g. a cold or flu, work or other scheduling conflicts, etc.).

Extensions on Assessments (Exams)

In the event of a disability-related episode, or other disability-related circumstance, the student may request that their exam be rescheduled within a reasonable time frame. This is a single extension per exam, and the request must be made as soon as possible.


Responsibilities

Student: is responsible for informing the instructor as soon as possible (before the exam or as soon as an episode ends) via email that they need an extension. The instructor must be notified by the end of the exam day. Arrangements should be made in advance for known medical absences; otherwise, there should be a causal nexus (proximity of time) between disability-related episode and exam day. The student must arrange with the instructor to schedule the make-up exam. Unless there are extenuating circumstances, the make-up should be completed within a week. Student should NOT reference OAS if they are requesting a make-up for non-disability related issues (e.g. travel issues, common cold, work, etc.).

Instructor: is responsible for determining a reasonable alternative testing date and ensuring the student has access to an equitable version of the original test. If concerned about the frequency of use, contact oas@fsu.edu. If the student does not communicate about missing an exam, the accommodation is not applicable.

Extensions on Assignments

In the event of a disability-related episode, or other disability-related circumstance, the student may request that an assignment deadline be extended. This is a single extension per assignment, and the request must be made prior to the original deadline.


Responsibilities

Student: is responsible for informing the instructor as soon as possible (prior to the deadline) via email that that an extension is needed. Consider that instructors are not available at all hours (e.g. late into the evening) and plan accordingly. Arrangements should be made in advance for known medical absences; otherwise, there should be a causal nexus (proximity of time) between disability-related episode and the deadline. The student must submit the assignment by the newly agreed upon deadline. Student should NOT reference OAS if they are requesting an extension for non-disability related issues (e.g. travel issues, common cold, work, etc.).

Instructor: is responsible for determining a reasonable deadline extension and responding to the student in a timely manner; the student has already been determined to be eligible by OAS. If concerned about the frequency of use, contact oas@fsu.edu. If the student does not communicate about the assignment prior to the deadline, the accommodation is not applicable.

Flexible Attendance with the Ability to Make Up Work

In the event of a disability-related episode, or other disability-related circumstance, the student may occasionally need to miss all or some of a class session. Since disability-related absences may exceed typical attendance policies, flexibility is requested when feasible. When feasible, the student is allowed to make up any independent work, including assignments/exams/quizzes/etc. within a reasonable time frame. This does NOT include class participation points or group work.


Responsibilities

Student: is responsible for informing the instructor as soon as possible (before class or as soon as an episode ends) via email that they are unable to attend class due to disability-related reasons without disclosing details. Students are responsible for communicating with instructors and ensuring that they meet the course objectives. Student should NOT refer to OAS accommodations if they are missing class for non-disability related issues (e.g. travel issues, common cold, work, etc.). This is NOT an accommodation for unlimited absences or remote attendance. If there are more than two consecutive absences for the same class, contact OAS to discuss a Letter of Support.

Instructor: is responsible for excusing occasional absences for disability-related reasons and providing options for making up independent work, including assignments/exams/quizzes/etc., to the extent that it does not fundamentally alter the course objectives. If concerned about the frequency of absences, contact oas@fsu.edu. If the student does not communicate about each absence, the accommodation is not applicable.

 

Other Accommodations

Dietary

Access to the Worry-Free Zone in Suwannee Dining. Access can only be approved for students diagnosed with conditions that make consumption of peanuts, tree nuts, and/or gluten unsafe and who have met with the Aramark dietician. The severity of the reaction is a determining factor of eligibility (e.g. intolerance is not sufficient demonstration of need). 

Other accommodations related to dietary needs associated with a student’s disability are considered under the other categories (e.g. additional fridge is a Housing accommodation; access to food and drink is an accommodation under “Classroom Access” and “Alternative Testing”).

Housing

Housing accommodations should be requested as far in advance of move-in as possible. Students accepted to the university can apply for Housing accommodations before submitting an attendance decision. As a reminder, University Housing contracts are binding.

OAS is not able to approve accommodations related to needs for privacy, focus/limited distraction, or requests for a specific residence hall, room, or roommate assignment. OAS cannot approve accommodations for dust, mold, or allergen-free housing. If you believe there is mold in your dorm, please report it to University Housing, who will investigate and resolve any mold-related issues.

Emotional Support Animal (ESA) accommodations are determined by OAS as housing accommodations. ESAs are not service animals under the Americans with Disabilities Act. ESAs are approved only in University Housing and may not be taken to class. If you would like to request an ESA accommodation, you must complete the OAS application process. Service Animals do not need to be approved by OAS and are permitted in classrooms. Service Animals are trained to perform tasks related to the student’s disability.

OAS makes determinations about housing accommodations for students in International Programs, but the feasibility of implementing accommodations may be limited on international campuses.

Notetaking Support

Use of a peer notetaker may be determined to be an effective and necessary auxiliary aid. Notetaking support can be used in lecture-based courses. Courses that are discussion-based or activity-based may not qualify. Detailed PowerPoint slides with instructor notes, fill-in-the-blank note packets, and smart pens are approved supplemental notetaking accommodations in lieu of a peer notetaker if one does not volunteer.

Online Classes: 

  • Notetaking will only be necessary for online classes with live, synchronous lectures in which transcripts are not provided. Notetaking for online courses is only for live lecture materials; peer notetakers will not upload notes for required readings.
  • Asynchronous online courses where students can pause, stop, and rewatch lecture videos do not qualify for notetaking support, as students are expected to watch lectures and take notes. Notetaking support is intended to supplement notes for courses where students are not in control of the rate at which instructional material is delivered. 

Responsibilities:

Student: is responsible for attending class and taking their own notes, which will be supplemented by a notes provided by a volunteer notetaker. Notetaking support does not include notes on assigned readings. Student is also responsible for confirming a need for notetaking services for each course.

Instructor: is responsible for making announcements to try to recruit a volunteer notetaker within one week of receiving the Accommodation Letter. Instructor should refer volunteers to OAS-Notetaking@fsu.edu and protect the privacy of both the accommodated student and volunteer. All notes provided by a volunteer should be uploaded to the OAS Portal for consistency and to ensure the volunteer is able to register service hours through the ServScript Program.

Reduced Course Load

Generally, to be designated as full-time students, 12 credit hours are required for undergraduates and 9 credit hours are required for graduate students. A reduced course load enables approved students to take fewer credit hours and be considered a full-time student for  internal FSU purposes. 

Note: Before reducing the number of credit hours, students should work with the Financial Aid Office, their department, or other funding source to avoid any impact to financial assistance. Students approved for a reduced course load should also work with their Colleges/departments to discuss any impacts to program requirements.

Transportation Services

OAS provides transportation services based on demonstrated need. Rides are scheduled based on course schedule, with rides to class prioritized over all other rides. Transportation services are not available on demand. Transportation is limited to main campus locations. Students are responsible for getting to their pick-up location according to the schedule and communicating about confirming, changing, and canceling rides.
