OAS determines accommodation eligibility based on demonstrated need through an interactive process with an OAS Accessibility Specialist. Some accommodation requests may require committee review. Students are responsible for notifying their instructors each semester of their accommodations using Accommodation Letters, which students generate in the OAS Portal OAS Portal by selecting which of their approved accommodations are needed for each class. Each accommodation is limited in its scope and applicability and involve specific responsibilities for students and instructors. These responsibilities are detailed below.
Alternative Format accommodations ensure that students have access to textbooks and course readings that are accessible based on their disability-related needs. When students include the Alternative Format accommodations in their Accommodation Letters, materials listed through the bookstore are automatically submitted for an Alternative Format request. OAS staff will send notification via email if these books are available through Bookshare, Follett ACCESS (digital versions of textbooks are provided at a discount and the cost of the book is paid for through students’ course fees), or whether we need proof of purchase to request an accessible version from the publisher. OAS staff also provide books in Braille, large print, or DAISY (Digital Accessible Information System) files to meet access needs.

Students determined eligible for Alternative Testing accommodations are able to test in the OAS Testing Center, in the classroom, or per arrangements made with the instructor in advance of the exam date. Students who choose to test in the classroom should talk with their instructor about the feasibility of implementing accommodations. For example, testing in the classroom may mean waiving additional time accommodations for that exam unless the student and instructor have planned how the additional time will be implemented. Students who choose to test at the OAS Testing Center should schedule all exams in the OAS Portal early in the term, but no later than two business days in advance. Students must indicate which accommodations are needed when they schedule their exams with OAS. Any exams scheduled outside of standard class time must explicitly receive instructor permission before scheduling with OAS.
Instructors must complete the Alternative Testing Procedures for each class in the OAS Portal form to enable students to test with OAS. The form requests information about testing dates and times, durations, and procedures.
Students approved for extended testing time are granted time equivalent to the standard testing time multiplied by the approved amount of extended testing time. For example, if 60 minutes is typically allotted for a test, a student approved for 1.5x will be allotted 90 minutes, and a student approved for 2x will be allotted 120 minutes. This accommodation applies to timed assessments only.

Student may use a 4-function (or otherwise specified by the instructor) calculator during tests. Some limitations may apply.

Allows the student to use earplugs or noise-canceling headphones to minimize auditory distractions and improve focus during testing situations. These devices do not provide audio playback unless specifically approved.

Instructor: is responsible for following standard procedure for student to test at OAS and providing a high-resolution copy of exam materials.
Provides the student with a location to take exams, minimizing environmental distractions such as noise, movement, or crowded testing spaces. This is NOT an accommodation for an individual testing room.

Student: is responsible for scheduling tests at OAS or coordinating testing in a reduced-distraction environment with their instructor.
Instructor: is responsible for following standard procedure for the student to test at OAS or provide a reduced-distraction testing environment. This requires sufficient distance between students and limited visual and auditory distractions.
Student may request that exam questions be rephrased by instructor.

Instructor: is responsible for ensuring they or a representative are available during testing. If student is testing with OAS, instructor must respond to OAS Testing outreach in a timely manner. OAS Testing will reach out in the manner indicated in instructor's Alternative Testing Procedures.
Student may use as much scratch paper as needed during tests.

Classroom access refers to a broad set of accommodations related to in-class learning. These accommodations ensure equitable access to activities and the physical environment, including but not limited to: participation; materials; information; assignments; etc.
In the case of paper-based assignments, an alternative format in the form of a digital version will be provided to the student, and the student can submit the assignment in a computer-based format.

Instructor: is responsible for rephrasing information in a reasonable manner without providing an academic advantage. Clarification is not creating materials that are not available to all students.
Communication outside of class sessions is to occur digitally.

Student: is responsible for directly communicating with their instructor.

Student needs a direct line of sight to the speaker's face to ensure clear sound and lip reading/facial cues are available to the students.

Allows modifications/alternative options for physical activity in class, when feasible.

Instructor: is responsible for working with OAS and the student to determine appropriate modifications to or alternative options for physical activity, when feasible. This does not exempt the student from physical activity requirements.
Seating in a specific section of the classroom (i.e. near exit, front/back, source of information. etc.).
Responsibilities
Student: is responsible for communicating if they experience difficulty accessing where they need to sit.
Instructor: is responsible for helping student secure preferred seating, if needed.
Allows modifications/alternative options for public speaking/presentation requirements in class, when feasible.
Responsibilities
Student: is responsible for communicating with OAS and the instructor to modify public speaking/presentation requirements or determine an alternative option, as feasible. This does not exempt the student from public speaking/presentation requirements.
Instructor: is responsible for working with OAS and the student to determine appropriate modifications to or alternative options for public speaking/presentation requirements, when feasible. This does not exempt the student from public speaking/presentation requirements.
Students may record the instructor while lecturing. The contents of the course are the property of the instructor; the recording will be used solely for access to the course, the student should not share the recording publicly. Other students cannot be recorded without consent.
Responsibilities
Student: is responsible for acquiring a recording device and responsibly using the recordings according to Florida Statute 1004.097.
Instructor: is responsible for allowing recording in the classroom and wearing a microphone, if requested.
If a course calendar is not readily apparent (one cohesive section with due dates) in the syllabus or on Canvas, the instructor must provide a calendar of due dates for all assignments and assessments.

Spelling and grammar leniency or use of spell check software/device (or similar alternative) while completing in-class work.
Responsibilities
Student: is responsible for communicating need for spelling and grammar support.
Instructor: is responsible for providing/enabling the use of spelling and grammar support.
This accommodation enables the student to request access to course syllabi up to two weeks prior to the start of the term, as feasible.

Student: is responsible for contacting the instructor to request access to the syllabi prior to the start of the semester and communicate with the instructor or department about the feasibility of early access to the syllabus.
Instructor: is responsible for providing the student with access to the class syllabus upon receipt of the Accommodation Letter.

Instructions and substantive information referenced in class (deadline reminders, in-class activities, syllabus/schedule changes, etc.) to be provided in writing.

Student: is responsible for actively communicating with instructor to confirm understanding.
Instructor: is responsible for ensuring all verbal instructions and directives referenced during class are also provided in writing.
Instructions and substantive information (deadline reminders, in-class activities, syllabus/schedule changes, etc.) provided in writing during class must also be spoken aloud.
Responsibilities
Student: is responsible for actively communicating with instructor to confirm understanding.
Instructor: is responsible for ensuring all written instructions and directives referenced during class are also provided verbally.
Communication access ensures that students receive equal access to course content and university communication. Services may include real time captioning (CART), virtual ASL interpreting, assistive listening devices, and other supports that remove barriers to participation. OAS works with students and instructors to coordinate these accommodations across academic and campus settings.
Provides virtual access to a qualified American Sign Language (ASL) interpreter to facilitate real-time lecture and meeting communication.
Responsibilities
Student: is responsible for confirming intended virtual ASL usage and coordinating use for the term with OAS. The student will provide a lapel mic to the instructor at the start of class to ensure the audio is clear for the interpreter. Lapel mics are available for check-out through OAS.
Instructor: is responsible for wearing the lapel mic system and returning it to student at the end of class. Instructor is responsible for helping student troubleshoot any minor sound issues (e.g. mic placement) that arise. Instructor is expected to add interpreter to the Canvas course with ODL facilitation.
Provide 100% accurate closed captioning for streaming content, video, and/or audio content used in class or assigned for coursework.
Responsibilities
Instructor: is responsible for providing materials that include closed captions or generating closed captions and for ensuring the captions are 100% accurate. Use Kaltura to generate, review, and edit captions for accuracy. Reach out to Canvas Support if assistance is needed.
Provides real-time captioning services (Communication Access Realtime Translation – CART), allowing students to read spoken dialogue and lecture content as text on a screen during class.

The student will provide a lapel mic to their instructor at the start of class, and collect at the end of each class. Lapel mics are available for check-out through OAS.
Instructor: is responsible for wearing the lapel mic and returning it to the student at the end of class. Instructor is responsible for helping student troubleshoot any issues that arise.
Provides access to a Frequency Modulation (FM) hearing system, which amplifies the instructor’s voice and transmits it directly to the student’s hearing device to improve sound clarity and reduce background noise.

Instructor: is responsible for wearing the FM system and returning it to the student at the end of class. Instructor is responsible for helping student troubleshoot any minor sound issues (e.g. mic placement) that arise.
Provides access to a lapel mic system, which amplifies the instructor’s voice and transmits it directly to the student’s personal listening device to improve sound clarity and reduce background noise.

Student: is responsible for confirming intended lapel mic system use and checking out a device from OAS. Student is responsible for having their own wireless headphones, providing the lapel mic system to instructor at the start of class, and collecting it at the end of each class.
Instructor: is responsible for wearing the lapel mic system and returning it to student at the end of class. Instructor is responsible for helping student troubleshoot any minor sound issues (e.g. mic placement) that arise.
Flex accommodations indicate a need for occasional flexibility for disability-related reasons. Using flex accommodations requires timely and direct communication with instructors. Flex accommodations are not to be used for circumstances unrelated to a student's disability (e.g. a cold or flu, work or other scheduling conflicts, etc.).
In the event of a disability-related episode, or other disability-related circumstance, the student may request that their exam be rescheduled within a reasonable time frame. This is a single extension per exam, and the request must be made as soon as possible.
Responsibilities
Student: is responsible for informing the instructor as soon as possible (before the exam or as soon as an episode ends) via email that they need an extension. The instructor must be notified by the end of the exam day. Arrangements should be made in advance for known medical absences; otherwise, there should be a causal nexus (proximity of time) between disability-related episode and exam day. The student must arrange with the instructor to schedule the make-up exam. Unless there are extenuating circumstances, the make-up should be completed within a week. Student should NOT reference OAS if they are requesting a make-up for non-disability related issues (e.g. travel issues, common cold, work, etc.).
Instructor: is responsible for determining a reasonable alternative testing date and ensuring the student has access to an equitable version of the original test. If concerned about the frequency of use, contact oas@fsu.edu. If the student does not communicate about missing an exam, the accommodation is not applicable.
In the event of a disability-related episode, or other disability-related circumstance, the student may request that an assignment deadline be extended. This is a single extension per assignment, and the request must be made prior to the original deadline.
Responsibilities
Student: is responsible for informing the instructor as soon as possible (prior to the deadline) via email that that an extension is needed. Consider that instructors are not available at all hours (e.g. late into the evening) and plan accordingly. Arrangements should be made in advance for known medical absences; otherwise, there should be a causal nexus (proximity of time) between disability-related episode and the deadline. The student must submit the assignment by the newly agreed upon deadline. Student should NOT reference OAS if they are requesting an extension for non-disability related issues (e.g. travel issues, common cold, work, etc.).
Instructor: is responsible for determining a reasonable deadline extension and responding to the student in a timely manner; the student has already been determined to be eligible by OAS. If concerned about the frequency of use, contact OAS@fsu.edu. If the student does not communicate about the assignment prior to the deadline, the accommodation is not applicable.
In the event of a disability-related episode, or other disability-related circumstance, the student may occasionally need to miss all or some of a class session. Since disability-related absences may exceed typical attendance policies, flexibility is requested when feasible. When feasible, the student is allowed to make up any independent work, including assignments/exams/quizzes/etc. within a reasonable time frame. This does NOT include class participation points or group work.
Responsibilities
Student: is responsible for informing the instructor as soon as possible (before class or as soon as an episode ends) via email that they are unable to attend class due to disability-related reasons without disclosing details. Students are responsible for communicating with instructors and ensuring that they meet the course objectives. Student should NOT refer to OAS accommodations if they are missing class for non-disability related issues (e.g. travel issues, common cold, work, etc.). This is NOT an accommodation for unlimited absences or remote attendance. If there are more than two consecutive absences for the same class, contact OAS to discuss a Letter of Support.
Instructor: is responsible for excusing occasional absences for disability-related reasons and providing options for making up independent work, including assignments/exams/quizzes/etc., to the extent that it does not fundamentally alter the course objectives. If concerned about the frequency of absences, contact OAS@fsu.edu. If the student does not communicate about each absence, the accommodation is not applicable.
Access to the Worry-Free Zone in Suwannee Dining. Access can only be approved for students diagnosed with conditions that make consumption of peanuts, tree nuts, and/or gluten unsafe and who have met with the Aramark dietician. The severity of the reaction is a determining factor of eligibility (e.g. intolerance is not sufficient demonstration of need). While the Worry-Free Zone requires approval as an OAS accommodation, Seminole Dining works to ensure students have access to foods that meet their dietary needs. Other accommodations related to dietary needs associated with a student’s disability are considered under the other categories (e.g. additional fridge is a Housing accommodation; access to food and drink is an accommodation under “Classroom Access” and “Alternative Testing”).
Housing accommodations should be requested as far in advance of move-in as possible. Students accepted to the university can apply for Housing accommodations before submitting an attendance decision. As a reminder, University Housing contracts are binding.
OAS is not able to approve accommodations related to needs for privacy, focus/limited distraction, or requests for a specific residence hall, room, or roommate assignment. OAS cannot approve accommodations for dust, mold, or allergen-free housing. If you believe there is mold in your dorm, please report it to University Housing, who will investigate and resolve any mold-related issues.
Emotional Support Animal (ESA) accommodations are determined by OAS as housing accommodations. ESAs are not service animals under the Americans with Disabilities Act. ESAs are approved only in University Housing and may not be taken to class. If you would like to request an ESA accommodation, you must complete the OAS application process. Service Animals do not need to be approved by OAS and are permitted in classrooms. Service Animals are trained to perform tasks related to the student’s disability.
OAS makes determinations about housing accommodations for students in International Programs, but the feasibility of implementing accommodations may be limited on international campuses.
Use of a peer notetaker may be determined to be an effective and necessary auxiliary aid. Notetaking support can be used in lecture-based courses. Courses that are discussion-based or activity-based may not qualify. Detailed PowerPoint slides with instructor notes, fill-in-the-blank note packets, and smart pens are approved supplemental notetaking accommodations in lieu of a peer notetaker if one does not volunteer.
Online Classes:
- Notetaking will only be necessary for online classes with live, synchronous lectures in which transcripts are not provided. Notetaking for online courses is only for live lecture materials; peer notetakers will not upload notes for required readings.
- Asynchronous online courses where students can pause, stop, and rewatch lecture videos do not qualify for notetaking support, as students are expected to watch lectures and take notes. Notetaking support is intended to supplement notes for courses where students are not in control of the rate at which instructional material is delivered.
Responsibilities:
Student: is responsible for attending class and taking their own notes, which will be supplemented by a notes provided by a volunteer notetaker. Notetaking support does not include notes on assigned readings. Student is also responsible for confirming a need for notetaking services for each course.
Instructor: is responsible for making announcements to try to recruit a volunteer notetaker within one week of receiving the Accommodation Letter. Instructor should refer volunteers to OAS-Notetaking@fsu.edu and protect the privacy of both the accommodated student and volunteer. All notes provided by a volunteer should be uploaded to the OAS Portal for consistency and to ensure the volunteer is able to register service hours through the ServScript Program.
Generally, to be designated as full-time students, 12 credit hours are required for undergraduates and 9 credit hours are required for graduate students. A reduced course load enables approved students to take fewer credit hours and be considered a full-time student for internal FSU purposes.
Note: Before reducing the number of credit hours, students should work with the Financial Aid Office, their department, or other funding source to avoid any impact to financial assistance. Students approved for a reduced course load should also work with their Colleges/departments to discuss any impacts to program requirements.
OAS provides transportation services based on demonstrated need. Rides are scheduled based on course schedule, with rides to class prioritized over all other rides. Transportation services are not available on demand. Transportation is limited to main campus locations. Students are responsible for getting to their pick-up location according to the schedule and communicating about confirming, changing, and canceling rides.
